Vocational students attending a vocational school outside Bavaria; Applying for a subsidy when out-of-town housing is necessary

Vocational school students who are required to attend a vocational school outside Bavaria may apply for a subsidy for room and board.

Vocational school students who are required to attend a vocational school outside Bavaria (this applies primarily to so-called “splinter occupations”) receive reimbursement for the costs of lodging and meals if they must live away from home.

Accommodation is generally provided in a student dormitory arranged or recommended by the school. The student’s share of the meal costs for full board is currently up to 5.10 euros per day.

No reimbursement will be granted in the event of unexcused absences from class or expulsion from the dormitory for disciplinary reasons. For a single room provided upon request, only the cost of a shared room will be reimbursed.

Overnight accommodation is considered necessary if a student cannot reasonably be expected to return daily to his or her usual place of residence on consecutive school days. This is generally the case when, using regularly scheduled public transportation, the student’s absence from their usual place of residence exceeds twelve hours, or the time required to travel between their usual place of residence and the vocational school exceeds three hours.

For reimbursement of costs under Art. 10(7) of the Bavarian School Funding Act (BaySchFG), only those expenses incurred in connection with regular vocational school instruction and relating exclusively to the school-based portion of the training are taken into account. Only the period of regular block instruction (first to last school day) is considered.

The journeyman’s examination and practical training are part of the on-the-job training. Reimbursement of expenses under Article 10(7) of the Bavarian Vocational Training Act (BaySchFG) cannot be provided for these.

for the first application: a complete copy of the vocational training contract, because retrainees are excluded from the reimbursement of costs

if applying for the first time: a copy of the host school permit, if applicable
for the first application: the certificate of attendance from the vocational school
if applying for the first time: if applicable, declaration of assignment to the training company
for the first application: the invoice for the costs of the home
in the case of a follow-up application: the confirmation of attendance from the vocational school with details of excused/unexcused absences and the home costs invoice

The application must be submitted to the government agency responsible for the school district. In the case of a cross-state school district, the government agency within whose jurisdiction the apprenticeship agreement exists is responsible.

The application must be submitted and signed by the adult vocational school student or the legal guardian(s), as only these individuals are eligible for reimbursement. If the reimbursement is assigned to a third party (e.g., the training company, because it has advanced the funds), then—unless a general declaration of assignment has been issued—the application must still be submitted and signed by the adult vocational school student or their legal guardians. The assignment is then effected by entering the beneficiary in the field “... for transfer to the following account:”.
